Job Description

An exciting opportunity for anyone looking to step into a PA role within the media industry. In this position, you’ll provide high‑quality administrative and organisational support to a senior leader across two brands, helping to ensure the smooth running of day‑to‑day operations. You’ll work with accuracy, discretion and professionalism, often acting as the first point of contact and handling sensitive information with care.

Requirements

  • Manage complex diaries, coordinating internal and external meetings, liaising with senior management and EA/PA teams, and handling correspondence with clients and EA teams regarding scheduling and room bookings.
  • Arrange UK and international travel, ensuring efficient, accurate and timely planning across all required itineraries.
  • Oversee ordering and stock control of office supplies, including food and beverages for events and socials, while maintaining overall office standards and ensuring issues are promptly reported and resolved.
  • Organise monthly hybrid team meetings, including scheduling, preparing presentation materials, and overseeing room setup for both in‑person and virtual attendees.
  • Support agency events and major client meetings or pitches by managing room bookings, coordinating with IT and catering teams, and acting as the primary contact for external partners.
  • Process expenses, oversee budget management, and provide administrative support across wider agency initiatives, including Media Partner sessions, training, award submissions, PO raising and travel assistance.
  • Demonstrates initiative, sound judgement and the ability to work autonomously while managing competing priorities.
  • Strong organisational skills with a meticulous approach to diary management, documentation and workflow coordination.
  • Clear and confident communicator with the ability to liaise effectively at all levels, both internally and externally.
  • Proficient in Microsoft Office and other standard business systems, with the ability to prepare polished presentations and documents.
  • Able to handle confidential information sensitively and maintain a high level of professionalism at all times.
  • Works well with colleagues across different teams, contributing to shared goals and supporting wider operational needs.
